Tiba HMIS

Multi-tenant Hospital Management System with AI-powered digitization, intelligent retrieval, and patient-controlled data sharing—all on one secure platform.

Overview

Tiba HMIS is a comprehensive multi-tenant Hospital Management System that streamlines end-to-end hospital operations. The hospital portal is the staff-facing area where reception, nursing, doctors, laboratory, Diagnostics & Services, billing, insurance & claims, pharmacy, inventory, and admin teams manage patients, visits, orders, and operations. Beyond laboratory, facilities run imaging, cardiology, procedures, dental, optical, and physiotherapy through dedicated worklists tied to a billable service catalogue. Insurance integration covers SHA (MWAVULI360), private insurers (Slade360 HealthCloud), Birdview cover verification, and M-Pesa alongside cash. Access is role-based: staff log in with email, password, and hospital code. Multiple hospitals share one secure platform: patient demographics are shared so any facility can find a patient, while medical history and operational data stay facility-scoped—cross-facility clinical history requires patient consent. AI features—document digitization, natural language search, and clinical consultation—reduce administrative burden at the point of care. The patient portal with consent management lets patients control who accesses their records across facilities.

Core Modules

Tiba HMIS includes these core modules so your facility can run registration, clinical care, orders, pharmacy, billing, and operations in one place.

  • Patient Registration & Queue Management — Register patients, manage queues, and support outpatient/inpatient workflows with hospital-specific authentication.
  • Outpatient & Inpatient Clinical Workflows — Clinical documentation, encounters, and care plans with AI-assisted capture and structured output.
  • Laboratory — Lab requests, phlebotomy, panels, and result approval as a dedicated lab pathway.
  • Diagnostics & Services — Non-laboratory worklists for imaging & radiology, cardiology diagnostics, procedures, dental, optical, physiotherapy, and external referrals—ordered by clinicians or started from Reception as a primary service.
  • Pharmacy & e-Prescriptions — Prescription management, dispensing, and e-prescribing with drug interaction and allergy checks.
  • Billing, Insurance & Claims — Cash, M-Pesa, and insurance billing; SHA (MWAVULI360), private insurer (Slade360 HealthCloud), and Birdview cover verification with claim submission from the Insurance & Claims hub.
  • Inventory & Procurement — Physical stock plus a facility service catalogue (billable clinical services with cash and insurer-specific sale prices).
  • Reports & Analytics — Operational and clinical reports, dashboards, and analytics per facility, with data isolated so each hospital sees only its own.

Hospital Portal Features

The hospital portal gives each team a dedicated workspace with permission-based access. Below is what each area offers.

1. Access & Authentication

Staff log in with email and password; optional hospital selection for multi-facility setups. After login, staff are directed to the dashboard (patients use the separate patient portal). Each team sees only the modules they need—reception, nursing, doctors, lab, billing, pharmacy, and admin each have their own workspace. Account menu includes announcements, profile, and security settings.

2. Dashboard & Reception (New Visits)

Main staff landing showing patients in the visit flow. Per-visit actions: send to nurse, send to doctor, prescribe, send to lab, or discharge; assign doctor or nurse as needed. Quick actions and modals keep the flow smooth from check-in to discharge.

3. Patients

Searchable, filterable list of all patients with paging. Create a new visit for an existing patient, update patient details, add new patients, create appointments, or send to lab. Prescribe for a patient or manage referrals (view status: referred, viewed, completed) and refer patients to other facilities or providers.

4. Reception Interface

Patient appointments grid: confirm appointments (starting the attendance process), assign a primary service (general/specialist consult, dental, optical, physiotherapy) and an enabled clinician, and create new appointments. Select the visit cover route (cash, M-Pesa, SHA, private insurance, or Birdview). View booked appointments and register new patients directly from reception.

5. Nursing

Triage queue showing patients in the nursing track. For each patient, add triage: temperature, height, weight, pulse, systolic, diastolic, BMI (auto-calculated), and notes. Update triage and move the patient forward in the visit flow.

6. Doctor

Doctor queue with filters (e.g. triage, doctor, awaiting result, lab). Actions: refer patient, consult, prescribe, send to lab, order diagnostics & services, view results. Consult: capture note, complaint, ICD-11 diagnoses, disposition (e.g. admitted), and fee; optional speech-to-text for faster documentation. Order imaging, cardiology, procedures, and other non-lab services with indication and priority; view and approve lab and diagnostics results; refer patient to another facility or provider.

7. Laboratory

Phlebotomy and lab requests: manage samples, approve, and convert. Lab results: view results, add new results (quantitative or qualitative), link to lab request and panels/samples, then send and approve. End-to-end from request to result. Laboratory remains a dedicated pathway, separate from the Diagnostics & Services worklists below.

8. Diagnostics & Services

A dedicated worklist for non-laboratory clinical services and procedures. Clinicians order from consult; Reception can also start dental, optical, or physiotherapy as a primary visit service. Each order links to the facility service catalogue (inventory price-list), creates a billing line, and moves through request → schedule → in progress → result → review.

Department worklists

  • Imaging & Radiology — e.g. Chest X-ray, Abdominal Ultrasound, CT Brain, MRI Brain, radiology reports
  • Cardiology diagnostics — e.g. Resting ECG, Echocardiogram
  • Procedures — e.g. Wound dressing, wound suturing, and other outpatient procedures
  • Dental — e.g. Dental consultation, scaling & polishing, simple tooth extraction
  • Optical — e.g. Comprehensive eye examination, refraction assessment
  • Physiotherapy — e.g. Initial assessment and follow-up sessions
  • External provider / referral — External diagnostic or procedure referrals

Facility admins configure which clinicians are enabled per department or service. Orders support clinical indication, body site/laterality, priority (routine, urgent, stat), optional pre-authorisation, and structured department result capture for doctor review.

9. Billing, Insurance & Claims

Invoice list, new invoice (appointment, triage, prescription, lab, and clinical-service lines), overdue invoices, and billing reports. Payment modes include cash, M-Pesa, and insurance. Each visit can follow one cover route for eligibility and claims:

  • SHA via MWAVULI360 — Eligibility, DHA consent, ICD-11 claim submission, and SHA-style pre-authorisation (including surgical, optical, oncology, and imaging types)
  • Private insurers via Slade360 HealthCloud — Eligibility / visit workflow and claim submission with payer, policy, and member data
  • Birdview — Microinsurance enrollment and cover verification

Insurer-specific sale prices can be set on catalogue services. The Insurance & Claims hub is where staff verify cover and submit claims after billing is ready.

10. Pharmacy

Prescriptions dashboard with stats (e.g. drugs feedback, close to expiring, out of stock). View and manage prescriptions—fulfil or track. Public prescriptions view; create new invoice for pharmacy; create requisition for pharmacy stock.

11. Inventory & Service Catalogue

Inventory grid, purchase orders, requisitions, incoming items, and reports for physical stock. The same inventory model also holds a facility service catalogue—billable clinical services (consultations, imaging, procedures, dental, optical, physio, and more) with cash and optional insurer-specific prices. Service items are priced and ordered without depleting stock like drugs or reagents.

12. AI Assistant

Chat interface and medical record upload. AI Consult: select a patient to see current visit analysis and historical patterns; conversational AI supports clinical decision-making with recommendations and insights. Upload records, use OCR and voice transcription during consultation, and get AI context at the point of care.

13. Multi-Tenant (Cross-Facility)

Search for patients across facilities. If your facility does not yet have consent, request it from the patient; once granted, view comprehensive patient history from all consenting hospitals. Manage consent requests and see consolidated medical history when clinically needed.

14. Announcements

Announcement channels for facility-wide or department updates. Browse channels and open any channel for full detail.

15. Admin

Manage members (users, patients, doctors) with add/edit/delete; company or facility settings; Diagnostics & Services clinician capability configuration; and role and permission management. Edit or delete patient details from the admin view as needed.

16. Navigation & Layout

Sidebar gives quick access to Patients, Reception, Nursing, Doctor, Laboratory, Diagnostics & Services, Billing, Insurance & Claims, AI Assistant, Multi-Tenant, Announcements, Pharmacy, and Inventory; Admin for administrators. Account area for profile, security, and staff announcements.

  • Multi-facility & multi-tenant support — Shared patient directory (MPI) across hospitals; operational data and clinical history isolated per facility, with patient-controlled consent for cross-hospital medical history.

Architecture

Tiba HMIS uses a modular service architecture with a secure API layer for EHR and administrative operations. The multi-tenant design keeps each hospital's operational data (billing, inventory, lab requests, staff) partitioned, shares a platform-wide patient identity directory, and exposes another facility's medical history only when the patient has granted consent. The AI pipeline runs asynchronously for document ingestion, transcription, and entity extraction, feeding structured data back into HMIS subsystems and into the patient portal where applicable. All cross-tenant clinical access is governed by patient consent and audit logging.

Integrations

Tiba HMIS integrates with clinical, payment, and insurance systems while preserving multi-tenant boundaries and patient consent:

  • SHA / MWAVULI360 — Eligibility visits, DHA consent, ICD-11 claims, and pre-authorisation for SHA pathways.
  • Slade360 HealthCloud — Private-insurer eligibility, visit lifecycle, and claim submission with payer and member details.
  • Birdview — Microinsurance enrollment and cover verification at the point of care.
  • M-Pesa payments — Mobile money alongside cash and insurance payment modes.
  • EMR interoperability — REST APIs and FHIR/HL7 where applicable for bidirectional sync with compliant systems.
  • Lab and pharmacy systems — Connect LIS, pharmacy systems, and dispensaries.
  • FHIR and standard exports — Structured data export for interoperability and reporting.

Deployment Options

  • Cloud-hosted SaaS — Fully managed multi-tenant cloud deployment; fast provisioning and automatic updates.
  • Hybrid deployments — Edge capture (e.g. on-site document/audio capture) with cloud processing and storage where compliance allows.
  • On-premise options — For specific compliance or data residency requirements; contact us for availability.

Security & Compliance

Tiba HMIS is built for healthcare with privacy-by-design and policy-driven data handling:

  • Encryption — In transit (TLS 1.3) and at rest (AES-256).
  • Access control — RBAC, MFA/SSO, least-privilege access, and hospital-specific authentication codes.
  • Audit logs — Immutable retention for all access and consent events; full transparency for patients and compliance.
  • Privacy-by-design — Tenant data isolation, patient consent enforced at the data layer, and alignment with SOC 2, and applicable regulations.

FAQ

  • Can we use Tiba HMIS alongside paper or mixed workflows?
Yes. Tiba supports progressive digitization by department. You can start with registration and billing, then add clinical documentation and AI features as you roll out.
  • How does data stay separate between hospitals?
Each hospital is a separate operational tenant with its own authentication and facility-scoped records (billing, stock, visits, clinical notes). Patient demographics are shared in a master patient index so facilities can find the right person; medical history from another facility is visible only after the patient grants consent in the Tiba patient portal.
  • Do you have APIs for our existing systems?
Yes. Tiba HMIS and the Tiba Copilot API (Scribe, search, etc.) offer REST APIs for interoperability with your EMR, lab, pharmacy, and billing systems. All API access respects tenant isolation and patient consent.
  • Are imaging, dental, and other procedures separate from the laboratory?
Yes. Laboratory has its own request and results pathway. Imaging, cardiology, procedures, dental, optical, physiotherapy, and external referrals use the Diagnostics & Services worklists, linked to your facility service catalogue and billing.
  • Which insurance pathways are supported?
SHA via MWAVULI360 (eligibility, consent, claims, and pre-authorisation), private insurers via Slade360 HealthCloud, Birdview cover verification, plus cash and M-Pesa. Catalogue services can carry insurer-specific sale prices.
